The Job Placement Tool was created in 2023 to make the process of assigning new work study positions simpler and more user friendly. Schools in the network approach placements in different ways - this tool's aim is to work flexibly with your programs needs, collecting data from students and supervisor and utilizing it all in WorkStudy Force.


This recorded training runs through the process of the Job Placement Tool and is outlined below.


Job Placement Tool

  • Data Overview
    • Student Placement Assessments are collected from students and Job Description Forms from supervisors.  
    • Industry, Skills, and Job Preferences are data sets collected from both the student and supervisor.
    • An algorithm compares student and supervisor data, creating a match score based on the alignment of a student's preferences and a company's needs.
    • You know your students best! The goal of this tool is to give you a best list of candidates for any given job and for your team to use their discretion in job placements.
  • Sending the Student Placement Assessment (11:45-18:35 in training video)
    • Navigate to the Student Placement Assessments (SPAs) in the CWSP Operations app (click more if you don't see it on your toolbar).
    • SPAs are already generated for your student body. To send, click on the grade drop down, scroll to the bottom of your list, and choose all or individually from radio buttons.
    • Using the "Send Link to" column, click the pencil icon, update items, apply, then save.
    • Students receive the SPA in their email. The recommended time to complete is 15-20 minutes.
  • Managing Job Descriptions and the Tracker (18:37-36:55 in training video)
    • A separate help document for this process can be found here!
    • Navigate to the App Launcher and select the CWSP Setup app.
    • The Job Description Tracker will list opportunities that are Verbal Yes, Contracting, or Closed Won.
    • A best practice for teams is to send Job Description links when partners are ready to renew or are onboarding newly to a CWS program.
    • Data from the job description once completed will manually create a job record in WorkStudy Force under the partner's account and the affiliated opportunity.
    • Click the job record in the opportunity to view the job description.
  • Job Placement Tool (36:57 in training video)
    • In CWSP Setup, navigate to Job Placement in your toolbar.
    • A full list of job records will be shown as well as students depending on which side of the Job Placement Tool you are toggling.
    • Students with survey data will reflect industry preferences, success factors, and skills based on their SPA results. Selecting one of these students will generate match scores for job description records.
    • Place a student into a job by selecting the plus (+) icon next to the job record.
    • Adjust filters to find specific students or specific jobs by industry, success, and skill factors.


  • Best Practices
    • Collect as many Job Descriptions (help doc here) and SPAs as possible! Schools have found making an SPA a CWSP assignment before the end of the year will aid in high return rates. Encourage members of the sales team to share the Job Description link out as soon as possible. CWS operation teams can do the same with their renewing partners.
    • Prioritize placements of mutual matches for employers that want students back and students that want to return. This will filter out students that have default placements for the upcoming school year.
    • For placing students without match scores, apply filters (44:40 in training video). This will allow you to assess a student's survey and match them based on what you know about their capability and a prospective work study position.
    • If a partner doesn't get around to submitting a job description, utilize the Mass Job Creator to ensure there are job records for all partners prior to completing the Job Placement Tool.
