Updating Student Semester Health for Individuals

Individual updates to Student Semester Health are excellent way to keep track of information you receive during a one on one or small conversation with a student, whether in person or virtual. Use the steps below to make updates to an alum's SSH record. See a video of this process here


Initial Semester Health Update

  1. Navigate to the Student Contact Page

    • Use the search bar to find the student by name,
      or

    • Go to the Contacts tab, and select a list view (e.g., “Currently Enrolled Alumni,” “Class Lists,” etc.).

  2. Select the Student

    • Click the student's name to open their contact page.

  3. Start the Update

    • Click the “Update Semester Health” button in the top-right corner of the page.

  4. Confirm Semester Details

    • Select the Semester, Year, and Institution.

    • Click “Proceed.”

  5. Enter Academic, Financial, and Social-Emotional Risk Info

    • Focus on the three main categories:

      • Academic Risk (e.g., credits attempted/earned, GPA, probation status)

      • Financial Risk

      • Social-Emotional Risk

    • Use the scripts on the left as a guide, but not every question needs to be answered.

    • Example: If you only discussed academics, just fill in that section.

  6. Submit the Update

    • Click “Finish” to save the record.

    • A new Semester Health record will be created.

    • An activity will be added showing that a semester health update was made.


Updating an Existing Record

  1. Return to the Student’s Contact Page

  2. Click “Update Semester Health” Again

  3. Ensure Semester Details Match

    • The Semester, Year, and Institution must match an existing record.

    • Click “Proceed.”

  4. Add More Information

    • The previously entered information will still be there.

    • Add any new updates (e.g., FAFSA status, additional financial/social-emotional details).

  5. Finish and Save

    • Click “Finish” to update the existing record (a new one will not be created).


Notes

  • You can return and update a record multiple times for the same semester.
