Correcting Inaccurate NSC Data

Sometimes, NSC reports inaccurate or incomplete enrollment or graduation information for a student. Here, we walk through some common errors and how to correct a student's "Status".

Important Considerations

  • The process to update NSC information may continue to be improved. This help article will be updated should the process be changed.
  • Correcting a student's enrolled/graduated status does not correct their historical persistence information at this time. For example, if a university does not report to NSC and you mark the student as having graduated, this will not fix their Year 2 persistence.
  • One scenario that is not discussed here is if a student has been reported as "graduated" by NSC but you know this is not the case. Please contact us if you encounter this or other scenarios not presented in the following sections.

Scenario 1: Student's Status Should be "Graduated"

In this scenario, you know a student has graduated from a 2- or 4-year college, but their status shows "Never Enrolled", "Not Currently Enrolled", or "Enrolled" (but not graduated).

  1. Navigate to the Override NSC tab.
  1. Select the first option - "The student graduated from college" - and click Next.
  2. Fill out the student's graduation information.
    1. Find the college/university. As you begin searching, Salesforce will return the most relevant and recent records. If you are don't see the college you need, you can click "Show All Results for [Search Query]" at the top of the list that appears and select from there.
    2. Enter the graduation date (DD/MM/YYYY) or use the calendar icon to find the date. The graduation date can be approximate - for example, if the student graduated in the spring of 2018, "5/1/2018" would be sufficient, even if they might have graduated another date in May/June. The general term and year are most important to capture.
    3. Select 2-year or 4-year from the dropdown.
    4. Select Public or Private from the dropdown. If you are unsure of the college type, you can open a new tab and look up the college's account record to view their public vs private status.
    5. If you know the student's degree title, you can enter it here. This is an optional field.
    6. If you know the student's major, you can enter it here. This is an optional field.
  3. Verify the information you entered then click Next.
  4. You should see a confirmation screen. Click Finish to complete the override.
  1. The student's Status will now reflect the updated graduation information.

Scenario 2: Student's Status Should be "Unenrolled"

In this scenario, you know a student is not currently enrolled in college, but their status shows "Enrolled".

  1. Navigate to the Override NSC tab.
  1. Select the second option - "The student's status shows "enrolled", but I know the student is not currently enrolled" - and click Next.
  2. Review the two choices:
    1. If you know which college the student most recently attended, select the first option and click Next.
    2. If you do not know which college the student most recently attended, select the second option, click Next, click Next again, then jump to Step 6.
  3. Fill out the most recent college information.
    1. Find the college/university. As you begin searching, Salesforce will return the most relevant and recent records. If you are don't see the college you need, you can click "Show All Results for [Search Query]" at the top of the list that appears and select from there.
    2. Select 2-year or 4-year from the dropdown.
    3. Select Public or Private from the dropdown. If you are unsure of the college type, you can open a new tab and look up the college's account record to view their public vs private status.
  4. Verify the information you entered then click Next.
  5. You should see a confirmation screen. Click Finish to complete the override.
  1. The student's Status will now reflect the updated information.

Scenario 3: Student's Status Should be "Enrolled"

In this scenario, you know a student is currently enrolled in a 2- or 4-year college, but their status shows "Never Enrolled" or "Not Currently Enrolled". These steps can also be followed if a student shows "Enrolled", but the college is not correct.

  1. Navigate to the Override NSC tab.
  1. Select the third option - "The student's status incorrectly shows "unenrolled" or enrolled in the wrong college, and I know where they are currently enrolled" - and click Next.
  2. Fill out the student's enrollment information.
    1. Find the college/university. As you begin searching, Salesforce will return the most relevant and recent records. If you are don't see the college you need, you can click "Show All Results for [Search Query]" at the top of the list that appears and select from there.
    2. Select 2-year or 4-year from the dropdown.
    3. Select Public or Private from the dropdown. If you are unsure of the college type, you can open a new tab and look up the college's account record to view their public vs private status.
    4. For the system to read an enrollment record as "current", the Enrollment Status needs to show "F" (Full Time), "Q" (Three Quarter Time), "H" (Half Time), or "L" (Less Than Half Time). Choosing "W", "A", or "D" will result in a student status of "Not Currently Enrolled". If you do not know the student's enrollment status but you know they are enrolled, choose any of the first four statuses.
  3. Verify the information you entered then click Next.
  4. You should see a confirmation screen. Click Finish to complete the override.
  1. The student's Status will now reflect the updated enrollment information.
